Know which automation rules handled a request

Illustrative situation

A supplier updates a workflow and the team cannot identify which rule set produced a disputed result. When a disputed result occurred last week, today's rules may not explain it. Keep the version and release date connected to the work processed, with a change summary the practice can understand.

What this means for your practice

Keep versions, release dates and change reasons linked to the operating workflow. Make it possible to trace an event to the configuration that handled it.

A practical conversation with your supplier

Ask to investigate a fictional event from before the latest update. Can the supplier show which rules applied and why they changed? The owner needs a clear explanation of the result, not just the current setup. This is particularly useful when a routing rule changed responsibility between teams.

Plan the first improvement

Keep a short change summary that explains what the new version does differently for staff. Technical configuration history is useful to the supplier, while the practice needs to know changes in assignment, messages or required information. Link the release date and approval to the version actually running. Ask how an individual event can be traced to the rules that handled it, particularly around the time of a change. The relevant history should remain available under the organisation's agreed arrangements rather than disappear when the next edit is made.

Use a sample enquiry processed before an update and another afterwards to test the explanation. A colleague should understand why the outcomes differ if the rule was intentionally changed. When investigating a complaint or operational question, establish the applicable version before judging its behaviour against today's rules. This prevents the team wasting time on an apparent discrepancy that is really an undocumented change in process.
