Questions to take to your supplier
Run a fictional refund through the supported test process. Can staff distinguish a request, a processed action and an update still needing attention? Keep it linked to the original payment reference. Your finance team should determine financial treatment and approval responsibilities.
Agree the working process
Map the refund process from the authorised decision to the action in the payment provider and the update visible to the clinic team. Different people may perform those steps, so make each responsibility explicit. The staff-facing record should distinguish requested, processed and unresolved states without suggesting that a request alone confirms completion. Keep the refund connected to the original reference and ask what happens when the provider action succeeds but the administrative update does not. That exception needs review rather than another automatic refund attempt.
Use the provider's supported test arrangements with fictional information and include a partial or otherwise representative case only where it is relevant to your approved process. Your finance team should determine the financial treatment and evidence required. Ask reception to explain the sample result from the record it normally sees. If staff still need to search several accounts to understand whether the action was completed, the handover may need a clearer summary or a better ownership route.
