Keep shift swaps and the official rota in agreement

What to ask before you choose

Ask to follow one swap from request through approval to the published rota. Include a cancelled request and a request involving someone who cannot provide the required cover. The supplier should explain which other records change, when that happens, and how the manager can see that the original arrangement remains in place while a decision is pending.

Make approval visible to everyone involved

A swap request should show both the original shifts and the proposed arrangement. This allows the manager to check the actual cover rather than approving an isolated message such as 'Can we swap Friday?' Ask staff to use one agreed request route, while making clear how an urgent situation should be handled if that route is unavailable.

Once approved, the updated arrangement should be visible to both colleagues and anyone relying on the rota. Ask the supplier which related records change automatically and which still require someone to act. That distinction matters if payroll or another site uses a separate system. Try withdrawing a request and declining one, as well as accepting a straightforward swap. Neither should accidentally remove the original cover. If staff continue confirming arrangements through a separate chat, find out whether the system's status is too vague or whether the working process has not been explained.
