A practical conversation with your supplier

Create a fictional limited-audience meeting and inspect sharing after notes are generated. Include an external participant. Your responsible owner should decide retention and distribution, and the supplier should show how defaults reflect that decision. A useful workflow makes access explicit instead of leaving it to the person who notices a broad sharing setting.

Plan the first improvement

Agree the intended recipients before generating or distributing the record. Different meetings may involve internal teams, external participants or a limited decision group, and the platform's normal workspace audience may not fit. The responsible owner should decide where notes are stored, how access is approved and what retention arrangement applies. Ask the supplier to show the actual sharing result, including links and exports, using fictional notes. A restricted storage folder does not by itself explain what happens when someone distributes a link from the tool.
