What this means for your practice
List the components and dependencies covered by maintenance before agreeing response expectations. Distinguish direct control from services that require supplier coordination.
An example to discuss with your team
Choose a failed booking-link scenario and trace who diagnoses it, who can change it and who communicates progress.

How to review the arrangement
Ask the maintainer to follow a broken booking link from report to resolution. Who investigates, who can change the destination and who updates the practice? Record exclusions with a usable support route. A familiar website name on the agreement should not conceal the connected parts visitors rely on.
Compare the package using a real visitor task
Write down the parts a visitor relies on when making an enquiry or requesting an appointment. Include the page, form, receiving message and any external booking service. Ask the proposed maintainer which parts they can change directly and which require another supplier. This makes exclusions understandable before an urgent fault exposes them.
Agree who coordinates the whole problem when it crosses those boundaries. The practice should not need to diagnose whether a failed booking is caused by the website or the booking company before it can ask for help. Use an example to discuss response hours, updates and work that may be charged separately. Keep a current contact for anything outside the package. Review the list when a new tool or service is added, so the maintenance agreement still reflects the website people are actually using.
How to check the result
Measure incidents delayed by unclear coverage or ownership.
