Ask to submit examples for every service option, then inspect the receiving records with reception. Which fields need correction before staff can act? Agree how unfamiliar values are flagged and who updates the connection when your form options change.
Agree the working process
Start with the receiving team's working screen rather than the form builder. Ask which pieces of information determine assignment, the next contact and any useful report. Match each relevant website answer to the place where the team expects it, using plain descriptions of meaning rather than relying on similar field names. A service field in one tool might use a different list of choices from the other, so agree how those choices correspond and what happens when no match exists. Keep the mapping short enough for the service owner to review.
Test optional blanks, changed options and an unfamiliar value alongside ordinary submissions. Reception should be able to use the transferred record without opening the original form to reconstruct its meaning. When the website form changes, review this agreement before launch rather than waiting for staff to discover misplaced answers. Record who maintains the mapping and who resolves exceptions. The connection should remove repeated interpretation work as well as repeated typing.
