Explain what to do when arriving early

A patient arrives well before their appointment and finds that the practice has limited waiting space or a locked entrance between sessions. The website never explained the local arrangement. An early arrival can be awkward when the building is not yet open or the practice has limited waiting space. Explain the arrangement without making patients feel unwelcome.

What to change

Describe the practical early-arrival policy approved by the local team. Keep it welcoming and explain how to discuss travel constraints that make timing difficult.

A worked example

Illustrative example

A small practice explains that its waiting area opens for the session at the time stated in appointment instructions. It invites patients with transport constraints to speak with reception beforehand.

Put it into practice

For example, the team may ask people to contact reception if they arrive before the stated access time. Ask staff to confirm what they can actually offer. A practical instruction should not imply there is a waiting area merely because one appears in a stock photograph.

Check whether the same arrangement applies to the first and later appointments of the day. A waiting area available at midday may not be accessible before the building opens.

What to agree before publishing

Ask reception what is possible before the usual arrival time, including the first appointment of the day and sessions outside public building hours. Explain any waiting arrangement accurately and give a contact route where necessary. A patient arriving early may have transport constraints rather than simply choosing to wait. Keep the tone welcoming while avoiding a promise of access or seating that has not been confirmed. Compare the page with the appointment reminder so its suggested arrival time supports the same arrangement.

How to check the result

A visitor can plan where to go without assuming an appointment reservation means unlimited access to the premises.

A mistake to avoid

Do not ask people to wait in an unsuitable place merely to keep the arrival copy short.
